What guests see when they RSVP

See how guests answer Going, Maybe, or Not going, add adult and child counts, leave a private note, and change their RSVP later.

When a sheet collects RSVPs, the public page opens with the question Will you be there? Guests answer on any phone or computer. They do not create an account or install an app.

The response card

  1. The guest chooses Going or Not going. Maybe appears only when the host allows it.
  2. If the sheet asks for counts, the guest sets Adults and Children. The card starts at 1 adult and 0 children and stops at the host's People allowed per RSVP limit.
  3. On a multi-day sheet that asks about each date, the guest answers for each date in its own row. Dates the guest leaves blank are not counted.
  4. On a sheet with sign-up slots, the guest can claim a spot on the same page, or skip the slots and send the RSVP alone.

When the host limits attendance, the places left show on the card before the guest answers. Once the limit is reached, Going is unavailable. Maybe and Not going stay available because they never take a place.

Review and send

The review step asks for First name, Last name, and Email, plus Phone as an option. A Note to organizer field holds anything the hosts should know, such as arriving late or dietary needs. Only the hosts see the note.

The button reads Send RSVP. When the guest also claimed a spot, it reads Send RSVP and confirm my spot, and one send covers both. The page then shows the saved response, for example You are going.

An RSVP by itself never reserves a sign-up slot. A guest who wants a dish or a shift claims it in the same review.

The confirmation email

Every RSVP sends a confirmation email with the subject RSVP received. It lists the response, the headcount, any per-date answers, any slot commitments, and a Manage your response link. The link is private to that guest, so ask guests not to forward it.

Reminder emails are tied to sign-up slots with dates. A guest who only RSVPs gets the confirmation email with the private link, and a reminder only when the same email also holds a dated spot. See confirmations and reminders for the reminder schedule.

Changing or removing a response

Guests open the private link from their confirmation email to:

  • switch between Going, Maybe, and Not going;
  • change their adult and child counts or per-date answers;
  • edit the note to the organizer;
  • select Remove my RSVP to delete the response and the note.

Each change sends a fresh email, and the host's sheet updates right away. Changing to Not going never cancels a sign-up slot on its own; the guest is asked whether to keep or cancel each spot. Removing an RSVP also leaves claimed slots unchanged.

One email address holds one response per sheet, so a second RSVP from the same address is not accepted. A guest who cannot find the private link should search their inbox for RSVP received. Hosts cannot edit a guest's response from the sheet, but they see every response and can export the list. Read more in track attendance and manage RSVPs.
