Privacy Policy

1. Who we are and the short version

Sign Up Queen LLC, an Arizona limited liability company ("Sign Up Queen," "we," "us," or "our"), operates signupqueen.com and the Sign Up Queen service (the "Service").

We collect information needed to provide, secure, support, and improve a sign up sheet service. This includes account information for hosts, information volunteers submit to a sheet, and usage information. We do not sell personal information or use it for advertising.

2. What we collect

Hosts. When you create an account we collect your name, email address, and login details through Clerk, our sign-in provider. If you upgrade to Pro, our payment provider Stripe processes your payment details. We never see or store your card number.

Volunteers. When you claim a spot on a sheet we collect the name, email address, and optional comment you enter, along with the spot and quantity you chose. We also collect answers you provide to questions created by the host, which may include information such as a phone number, t-shirt size, or other event-related details. No account is created.

Sheet content. We collect the titles, descriptions, dates, locations, slots, questions, instructions, and other details hosts and co-hosts add to their sheets.

Post-event surveys. Hosts may receive an optional email asking for a 0-10 recommendation score and an optional comment. For these NPS surveys we store the response, the email and event context needed to deliver and report the survey, delivery and response status metadata, and any survey-only opt-out. This is separate from marketing email preferences.

Subscribers. If you opt in to our email updates, we store the email address you gave us, when you subscribed, and whether you subscribed as a host or a volunteer so we can send content that fits. Subscribing is always optional and separate from the email the service sends to run your sheets.

Messages to us. If you contact us, we collect the name, email address, message, and other information you choose to provide.

Usage and technical data. We use Google Analytics to understand how the site is used, including pages viewed and product actions such as creating a sheet or claiming a spot. Analytics events may include public sheet identifiers and counts, but we do not send names, email addresses, custom answers, or private edit links to Google Analytics. Our systems and service providers also process technical information such as IP addresses, browser and device information, request times, and error or security logs. Your browser remembers your own sign ups on your device so you can find them again. Clearing your browser data removes this local record.

3. How we use your information

We use the information above to:

  • Show sign ups on the sheet they belong to
  • Send volunteers their private edit link and sign up confirmations
  • Send reminders and notifications related to sheets you host or joined
  • Provide hosts and authorized co-hosts with the sign up information for their sheets
  • Process Pro subscriptions and provide support
  • Send occasional tips and product news to people who opted in to our email updates
  • Understand aggregate usage so we can improve the product
  • Prevent fraud, abuse, security incidents, and technical problems
  • Comply with law and enforce our Terms & Conditions

4. Public sheets and host access

Sign up sheets are shared by link, so anyone with the link can see the sheet, including volunteer names and comments shown on it. Volunteer email addresses are never displayed on the public page; they are available to the host and authorized co-hosts so they can organize their event. Hosts and authorized co-hosts may also see volunteers' custom-question answers and other sign up details.

Think of a sheet like a paper list at the front of a room: put on it only what you are comfortable with the group seeing.

Sheets shared by link are not private, access-controlled workspaces. Hosts are responsible for deciding who receives a sheet link and what information they request or publish. Volunteers should not submit highly sensitive information through a sheet. Private edit links should be kept private because anyone with an edit link may be able to view, change, or cancel that sign up.

5. Cookies and similar technologies

We use cookies and similar browser storage for signing hosts in (Clerk), keeping your preferences, remembering your sign ups on your device, and measuring usage through Google Analytics. In regions that require opt-in consent (such as the EU, UK, and Switzerland), analytics stays off until you allow it in the cookie banner. Elsewhere, analytics is on by default and you can turn it off at any time using the "Cookie preferences" link in the footer or the Usage analytics setting on your Account page. You can clear or block cookies in your browser settings; core sheet pages keep working without analytics cookies.

6. Who we share data with

We share data only with the service providers that make Sign Up Queen work, and only for the purposes described here:

  • Clerk, for host sign-in and account management
  • Stripe, for Pro subscription payments
  • Resend, for sending our email, including edit links, reminders, and the updates people subscribed to
  • Google Analytics, for aggregate usage statistics
  • Replit, which hosts our servers and database

We do not sell personal information, and we do not share it with advertisers. Service providers may process information only to perform services for us and subject to their agreements and applicable law.

We may also disclose information when reasonably necessary to comply with law or legal process, respond to lawful government requests, prevent fraud or abuse, protect the rights and safety of Sign Up Queen or others, enforce our terms, or investigate security incidents. If Sign Up Queen is involved in a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to applicable law.

7. Legal bases for processing

Where a law requires us to identify a legal basis, we process information as needed to provide the Service and fulfill our agreement with you, to comply with legal obligations, and for our legitimate interests in operating, supporting, securing, and improving the Service. We rely on consent for optional marketing email and for analytics where consent is required. You may withdraw consent at any time, but withdrawal does not affect processing that already occurred lawfully.

8. How long we keep data

Sign up information stays attached to its sheet for as long as the sheet exists, so hosts keep an accurate record of their event. Volunteers can remove their own sign up at any time using their edit link, and hosts can delete a sheet from its detail page, which removes the sheet's active sign ups with it. If you want your host account and its data removed, contact us. Removing a host account also removes its NPS survey responses, surveys, and survey-only preference.

NPS survey records are kept for no longer than one year from creation, unless they are removed sooner because the associated host account no longer exists. A deleted sheet's event-title snapshot is removed while the score remains available for the host's reporting until that retention limit.

If you unsubscribe from our email updates, we keep your address on a do-not-email list so we never send you marketing email again. That is the one record we hold on purpose after you opt out.

We keep account, support, billing, analytics, technical, and security records for as long as reasonably necessary for the purposes described in this policy, including legal compliance, fraud prevention, accounting, security, and dispute resolution. When deciding how long to retain information, we consider its nature, sensitivity, purpose, and applicable legal requirements. Deleted information may remain temporarily in restricted backups before those backups are overwritten.

9. Security and processing in the United States

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, or alteration. No internet service or storage system can be guaranteed completely secure, so we cannot promise absolute security.

Sign Up Queen is based in the United States, and information is processed in the United States by us and our service providers. If you use the Service from another country, your information may be transferred to a country whose privacy laws differ from those where you live. Where required, we use legally recognized safeguards for these transfers.

10. Your rights and choices

Volunteers can change or cancel their own sign up at any time through their private edit link. Hosts can manage their sheets and the sign ups on them from their dashboard. For anything beyond that, contact us.

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a portable copy of your information, or to restrict or object to certain processing. You may also have the right to withdraw consent or complain to a data protection authority. We may need to verify your identity and may retain information where the law permits or requires it. We will not discriminate against you for exercising an applicable privacy right.

You can manage optional analytics through the "Cookie preferences" link in the footer or the Usage analytics setting on your Account page. Browser privacy signals and rights requests are handled as required by applicable law.

Every marketing email we send includes an unsubscribe link that lets you opt out. We process unsubscribe requests promptly and within the time required by law. Hosts can also turn email updates on or off from their account page.

NPS survey emails have a separate survey-only opt-out link. Using it stops future NPS survey emails without changing your marketing email preference.

11. Children and teenagers

Sign Up Queen is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

A person must be at least 18 to create an account, create or manage a sheet, purchase a subscription, or use the Service for an organization. A volunteer between 13 and 17 may submit a sign up only with permission from a parent or legal guardian.

12. Changes to this policy

If we change this policy, we will post the update here with a new effective date. For material changes we will make reasonable efforts to notify hosts by email.
