Volunteer Sign-Up Sheet Template
Every event lives or dies on volunteers showing up at the right time. This template breaks the day into clear, timed shifts (setup, check-in, activities, and cleanup) so nobody wonders when they're needed or how long they're staying.
Share one link with your whole crew. Volunteers see which shifts still need people, claim one in a tap, and get a private link to make changes if their plans shift.
- Every slot is fully editable before you share
- Volunteers sign up with one tap, no accounts ever
- Free for sheets up to 40 slots

How to make a volunteer sign up sheet with shifts
Map the day into shifts
Walk the event start to finish: setup, doors, the main stretch, teardown. Give each phase timed slots. This template's festival layout (setup, check-in, stations, cleanup) fits most event days with a few renames.
Set honest headcounts
Each slot's quantity is the number of people that job really needs. Four on setup, two per check-in window, four on cleanup. The sheet closes each shift when it fills, so you never over-recruit one job while another starves.
Share one link and watch coverage
Send it to your whole volunteer list at once. People grab what fits their day, you see gaps at a glance, and a targeted "we still need two for cleanup" message finishes the job.
What to include on a volunteer sign up sheet
Shift lengths people can say yes to
Two hours is the sweet spot: long enough to matter, short enough to fit around a Saturday. A six-hour ask fills slowly; three two-hour asks fill fast.
Check-in instructions
"Check in at the volunteer tent 10 minutes early, wear comfortable shoes" turns a name on a list into a person in position. Put it in the description, not a separate email.
A floater slot or two
Every event has a job nobody predicted. Floaters absorb the surprise, cover breaks, and rescue the station that got slammed.
Extra hands on cleanup
Cleanup is the hardest shift to fill and the one that runs shortest when full. Overstaff it by one or two; nobody has ever complained that teardown went too fast.
Frequently asked questions
How many volunteers do I need for my event?
Count stations, not vibes: each table or activity needs 1-2 people per shift, plus setup and cleanup crews of 3-4. Multiply stations by shifts, then add a floater or two as cushion. A typical school festival lands between 20 and 30 volunteer slots.
How long should volunteer shifts be?
Two hours for active jobs like games and check-in, up to three for calmer posts. Shorter shifts recruit better: a parent with a busy Saturday can give you 10:00 to 12:00. If a job truly needs continuity, let one person claim back-to-back shifts.
How do I remind volunteers before the event?
Automatically. Volunteers who leave an email get a reminder before the event with their shift time and their private edit link. The morning of, open your dashboard for the live roster; anyone who cancelled overnight shows up as an open spot you can flag to the group.
Can volunteers sign up for more than one shift?
Yes. Volunteers can claim as many open shifts as they like, and each one shows up separately so your schedule stays accurate.
How do I keep track of who's coming?
Your dashboard shows every shift with the names and emails of everyone signed up, updated live. Check it from your phone the morning of the event to see exactly who's coming.
What happens if someone can't make their shift?
Every volunteer gets a private edit link when they sign up. If they cancel, the spot reopens instantly for someone else to claim, with no message chains required.
