What are Groups?

Save your regular helpers once as a Group, add people by email or a join link, then share each new sign up sheet with them and choose when to email it.

A Group is a list of people you ask for help again and again: the class parents, the booster club, the Sunday volunteers. Save them once, then send them every new sheet. People join once, without an account, and you decide when they hear from you.

Open Groups from the top of your dashboard to create one. Creating a Group sends nothing.

Add people

Open the Group and select Add people. There are three ways in, and you can mix them:

  1. Paste emails. Separate addresses with commas or new lines. Names in angle brackets, like Mei Tan <mei@example.org>, are kept.
  2. Upload a CSV. Use one row per person with an email column and optional first and last name columns. A header row is fine.
  3. Past volunteers. Tick people who already signed up on one of your sheets. Anyone already in the Group is left out.

Each person gets one email from you: "[Your name] invited you to join [Group name] on Sign Up Queen", with a Join button and a No thanks link. Only people who choose Join become members. We never send reminders on our own. If someone has not answered after 7 days, you can resend the invitation once.

Prefer to pass a link around? Every Group also has a join link you can send in a text or a group chat. People who open it confirm their email to join. You can pause the link, require your approval, or reset it at any time.

Member statuses

  • Invited: you added them and they have not answered yet.
  • Member: they chose Join or confirmed their email through the join link.
  • Declined: they chose No thanks. We will not invite that address again.
  • Unsubscribed: they asked to stop Group emails. Members stay members, but no more email goes out.
  • Bounced: their mailbox rejected the email. We will not try that address again.

Share a sheet with a Group

From any sheet, open Share and select Share with a Group. Pick the Group and the sheet appears on every member's personal page. Sharing sends no email. The next step, Email members about this sheet, lets you add a short note and press Email N members when you are ready. That announcement can go out once per sheet.

You can also share from the Group page with Add a sheet, or from the sheet's Settings.

Limits that keep email trustworthy

Invitations come from your account, so a few guardrails protect your sending reputation and the people you invite:

  • Free accounts can send 25 invitations a day; Pro accounts can send 200. Accounts less than a week old, or without a published sheet yet, can send 10 a day until then.
  • A Free Group holds up to 25 people, counting open invitations. Pro Groups hold up to 500.
  • Shared mailboxes like info@ or noreply@ and temporary email services are skipped.
  • Every Group email has an unsubscribe link and a "Report this as spam" link. If many invitations bounce or get reported, sending is paused while we review it, and we email you.

The Add people dialog always shows how many invitations you have left today and how many seats remain in the Group.

What Free and Pro include

Free includes 1 Group with up to 25 members and sheet announcements. Pro adds unlimited Groups with up to 500 members each, sheets only members can open, Group messages without a sheet, and a CSV export of your member list. See manage Pro billing for plan details, and share a sign up sheet for the other ways to get a sheet in front of people.
