Share a sign up sheet link or QR code

Learn how to copy your sign up sheet link, display its QR code, and preview the public page before sharing it with volunteers.

Open the published sheet you want to send out, then select Share. That menu holds the public URL, QR code, and preview tools for the sheet. You can share the link anywhere volunteers already communicate: email, text, a group message, newsletter, or social post.

Share menu with Copy link, QR code, Embed button, and Preview page choices
Copy, QR, embed, and preview options stay together in the Share menu.
  1. Open the sheet from your dashboard.
  2. Select Share.
  3. Select Copy link, then paste the link into your email, text, newsletter, or post.

For a flyer or sign, select QR code in the same menu. Select Download QR code on a computer or Save to Photos on a phone, then place the image on your flyer or display it on a screen. The code opens the public signup page when someone scans it.

Select Preview page before sharing if you want to check the details and open slots as a volunteer would see them. The preview is useful after making a last-minute slot or visibility change. Embed button provides an alternative way to place a signup button on another page.

What happens when someone clicks the link

Anyone with the link can view the sheet and claim an open spot. Volunteers do not need a Sign Up Queen account to sign up. A closed sheet is still viewable, but it does not accept new claims. The public link is the same link you can keep using after you edit the sheet.

If you need to change the event before sending the link, see edit a published sheet. If the sheet is full or past its event date, its Share controls may be limited; the public URL still shows the current sheet state. For the public-page flow in more detail, see what volunteers see.
