What the template gives you
Setup, two main shifts, and cleanup, with places for three to four people on each. That covers most single-day events without any changes at all.
Tap the button, change the times to yours, and publish. Nothing here is fixed, and every slot can be renamed, resized, or removed.
Adapt it to your event
Add shifts for a longer day, or drop one for a short morning. Shifts of two to three hours get the fastest yes from volunteers.
If different shifts need different skills, put that in the slot name. People self-select correctly when the sheet tells them what the job is.
Share it and keep it current
Send the link in one message to the whole group rather than asking people one at a time. Seeing which shifts are still empty does more than a personal ask.
Volunteers with an email get a link to change their own shift, so the schedule stays right without you editing it.
Common questions
- Can I change the shifts in this template?
- Yes. The template only fills the form. Rename any shift, set your own times, change how many people each needs, or start over before you publish.
- How many volunteers should I ask for per shift?
- One more than the job strictly needs. Someone always cancels, and a spare pair of hands on setup or cleanup is never wasted.
- Can I reuse this for the next event?
- Start a fresh sheet from the same template each time. That keeps each event's list separate, so last month's volunteers are not mixed in with this month's, and the link you share is only ever about the event in front of you.
