Plan for more people than replied
Attendance at a church meal is rarely exact. Ask for a little more food than the count suggests, especially mains.
Four mains, four sides, four desserts, and two drinks covers a group of forty to fifty with room for the people who did not say they were coming.
Share the setup and cleanup
Three people on setup and three on cleanup keeps it from falling to the same volunteers who do it every month.
Name the times in the slots. Setup at nine and cleanup at one are commitments. Helping out is not.
Make it easy to join in
Say clearly that store-bought food is welcome and that anyone can come whether or not they bring something. Both remove a barrier that keeps people away.
Print the sheet and put it in the entryway as well as sharing the link. Not everyone in the congregation reads email.

- How much food do we need for a church potluck?
- Plan for about one and a quarter dishes per four people, weighted toward mains and sides. It is better to send leftovers home than to run out in the last serving.
- Can several people organize the same sheet?
- Anyone with the manage link can edit the sheet, so you can forward it to a co-organizer. Keep it to people you trust, since that link is the only key.
- How do we handle food safety for a large group?
- Say in the details when food should arrive and whether there is somewhere to keep it hot or cold. Dishes that sit at room temperature for more than two hours should be cleared. Add a slot for warming trays and a cooler, so the equipment is somebody's job.
